A Letter from the CEO: Important Billing Updates

To the Dalhart Community and Surrounding Areas,

First and foremost, I want to say how sincerely sorry I am regarding the billing issues DHCHD is having. The hospital district tried to move to a new company in the middle of last year; however, our current medical record system is so outdated they were unable to pull the reporting needed to send out accurate statements. Due to this, we went back to the company we were working with previously.

With that, DHCHD has been working diligently to implement a new medical record system. This system will link all our facilities into one record to help with efficiency and the overall quality of patient care. This new system will also alleviate a lot of the issues we are presented with when it comes to our billing. It will go live the week of September 12, 2022. Please know as we transition to the new system, we do expect to have some minor issues. However, we have a great team in place that has put new processes in place to make the transition as smooth as possible.

I want to give the community and our patients a monitored route to get their questions answered. So, we have set up a system that tracks all phone calls and when our team responds. I also set up an email address that our entire business office will have access to, as well as myself, as another avenue for our team to respond back to all patients as quickly as possible.

Our main goal is to serve all and to the best of our ability. There are processes we must follow because we are a governmental entity and because we are a participating provider in Medicaid and Medicare. One of those processes is our collections process. I want to inform everyone; we do have options for patients struggling financially, so please reach out to our billing department if you are struggling financially. We will do everything in our power to make life a little less stressful.

Lastly, to show our appreciation to the community, if you settle all your accounts by September 1, 2022, you will receive a 40 percent discount on your bills. This discount will apply to any account for dates of service prior to June 1, 2022. Email, call, or stop by and we will have a DHCHD team member assist you in any way possible.
